Returner Self-Assignment

Every year, the assignment process for the next academic year starts with Returner Self-Assignment. In Returner Self-Assignment, those current residents with contracts in good standing are able to pick out their room/suite for the following academic year.

From 2019-2022, a renovation project in the Sandburg Traditional Towers (South, North, and West) will result in fewer spaces being available for continuing students.

For this reason, University Housing strongly encourages eligible returning residents to explore Kenilworth Square Apartments as an option. Kenilworth is comprised of 1-, 2-, and 3-bedroom apartments, in which all bedrooms are single bedrooms with full size beds. Every apartment has a furnished kitchen and a small unfurnished sitting area. Kenilworth is open to students who have junior status or above or are age 22 or older. Students who meet either criteria by September 1 are eligible for that year. Kenilworth does not have a cafeteria, so there is no mandatory meal plan. It is still serviced by the UWM Prowl Line and by the MCTS #30 buses. Kenilworth bills on a monthly basis through the University’s PAWS system. One Contract Rule

It is important to understand that students may only participate in self-assignment processes for the buildings for which they have signed contracts for the next year. A Kenilworth student cannot participate in Residence Hall Self-Assignment, nor can a Residence Hall student participate in Kenilworth Self-Assignment. For this reason, it is important to (a) decide in advance which environment is right for you and (b) make sure you have signed the correct contract for that living environment. Residence Hall Returner Self-Assignment Process

Step 1: Determine where you want to live next year.

Are you eligible and interested in living in Kenilworth Square Apartments? If so, request access to a Kenilworth Contract by completing the form at uwm.edu/housing/students/kenilworth-square-apartments/.

Do you want to live in a Residence Hall setting during the next academic year? If so, go to uwm.edu/myhousing and login. Compete the residence hall contract for the proper year.

Are you considering moving to a private off-campus residence? Consult with UWM’s Neighborhood Housing Office to learn about available listings and go through their Preferred Tenant Program. Visit uwm.edu/nho to learn more.

Step 2: If applicable, complete the Residence Hall Contract for the next academic year.
  1. Go to uwm.edu/myhousing. Login using your UWM Credentials.
  2. Update your Emergency Contacts (link will be at the top of the left column).
  3. Click on the link to the Residence Hall Contract for the next academic year (link will be in the main column toward the bottom of the page).
  4. Complete the Residence Hall Contract.
    1. The online contract will ask you if you want to keep your current assignment for 2019-2020.  If you select “YES” you will be emailed regarding your request shortly (24 hours) before Self-Assignment. If your request is able to be granted, you will not have to attend Self-Assignment. If you change your mind and decide you do want to select a new space, show up to self-assign on your assigned date/time.
    2. In the rest of the online contract, you will make the normal set of contract preferences: room type, roommate, LLCs, etc. However, these preferences are only used if you do not participate in self-assignment. 
Step 3: If applicable, prepare for Returner Self Assignment.

Make a plan.

Some decisions you will face in the self-assignment process:

  • What building/room type do you want?
    • During self-assignment all the spaces that University Housing has available for 2019-2020 will be listed.  Not all rooms in all buildings will be open for self-selection due to LLC assignments for next year, facility renovations and staff rooms. Please come with a few different room options in mind!
  • Who do you want to live with?
    • We strongly encourage you to select your own roommate(s) and suitemate(s)!  If you and other current residents mutually agree to live together, indicate your roommate preferences by including their 9-digit (99xxxxxxx) ID number on your online contract.
    • In addition, during self-assignment, you will have the opportunity to “pencil in” names of roommates or suitemates you desire. Those roommates/suitemates still need to attend their self-assignment times to confirm the request. You may only hold spaces within the suite you are assigned to. You may not hold a space in another suite for a friend. Unconfirmed spaces will be released after NIGHT 2 of Self Assignment. Spaces cannot be saved for Fall 2019 new first-year or transfer students OR those students who are currently living off campus. Spaces can be saved for current residents or current students who are away from campus on a credit producing activity (i.e. study abroad, internship, etc.).
    • Residents who do not select a roommate may have any other current resident as a roommate or to be assigned a roommate based on new contract holder preferences (new freshmen and transfers). Students who self-assign, but do not have a roommate may be consolidated in order to create an open room.  Thus, the only way for you to have a specific double room is for you to select your roommate.
    • Unfortunately we cannot honor requests to live with specific RAs, as their assignments have not been identified for the 2019-2020 year and are regularly subject to change. No assignments will be made to RA suites.
  • Do you want to live in Inclusive Housing? Do you want to participate in a Living Learning Community?
Step 4: Show up at your assigned Self-Assignment appointment.

ITEMS YOU WILL NEED FOR ROOM SIGN UP:

  1. Completed online contract (by 11:59pm on Sunday, February 24, 2019) 
    If you do not complete your contract by the 2/24/19 deadline you can participate in ROUND 2 of Self-Assignment. The deadline to submit a contract for Round 2 is 11:59pm on Sunday, March 10, 2019.  Check your MyHousing account for your self-assignment date and time for ROUND 1 and ROUND 2. 
  2. If someone else is self-assigning for you in your absence, the completed and signed Proxy Card.
    If you cannot self-select your space during your designated time, another resident, considered your proxy, can select your space for you.  The Proxy acts as YOU, meaning you don’t need to attend or confirm an assignment unless you have questions. Give the person that is selecting your room the completed Proxy Card, which contains your name, ID number and signature.  This form authorizes your proxy to select your 2019-2020 housing assignment for you in your absence. Your Proxy is the person you trust to select your room for you. Your proxy must bring the signed Proxy Card with them during your sign-up time to select your room.  If you lose your proxy card, extras will be available at each Service Desk starting Tuesday, February 19th.

PROCESS ON THE DAY OF SELF ASSIGNMENT 

When you arrive, staff will check to confirm that you have completed the University Housing Contract. You will be directed into Flicks to wait until it is time for you to select your room assignment for 2019-2020!

You will be called out of Flicks to sign up for your self-assignment. When you complete your self-assignment, make sure you get a confirmation slip with your new room/suite number! 

Key Dates – Residence Halls

February 12: Returning Resident Residence Hall Contract is open.
3-5 Days after Contract Submission: PAWS Account updated with your $100 deposit charge (due May 1, 2019).
February 24: Deadline to complete for 2019-2020 contract to participate in Returner Self-Assignment and/or elect to keep your same room.
February 26-27: First round of Residence Hall Returner Self-Assignment.
March 12: Second round of Residence Hall Returner Self-Assignment.
May 1: FOR THOSE WHO CHOOSE TO NOT PARTICIPATE IN SELF-ASSIGNMENT: Priority deadline to compete University Housing Contract. Also the priority deadline for all contract preferences, including LLC and Roommate Requests. Returners who do not self-assign, will be assigned spaces based off the assignment lottery.
May 31: Cancellation deadline. Last date to cancel University Housing Contract and still recoup $50 of the $100 deposit.
June 7: Initial release of University Housing Room and Move-In Date Assignments on MyHousing site after 12pm (noon) CDT.
July 1: Priority deadline for University Housing Accommodation Requests (based on medical or other personal circumstances).
August 1: Deadline to submit requests to change assigned move-in date/time.
August 20: First possible day for move-in for students who have an approved Early Arrival Request.
August 27-29: Move-In Days
September 3: First Day of Class. 100% of Fall tuition, fees, room & meal plan charges due.

Kenilworth Square Apartments Return Self-Assignment Process

Students intending to live in Kenilworth Square go through a separate Self-Assignment process that typically occurs a few weeks after the Residence Hall Self-Assignment process. Current Kenilworth residents are allowed to request to keep their current room, similar to the option offered to residence hall students. Then, any current UWM student (currently living in Kenilworth, in a Residence Hall, or Off-Campus) with a signed Kenilworth contract are invited to a self-assignment night, where they can pick out their individual room/apartment. This event typically takes place in the 2nd floor lounge area.

Key Dates – Kenilworth

February 15: Returning Kenilworth Contract is open.
3-5 Days after Contract Submission: PAWS Account updated with your $300 deposit charge (due May 1, 2019).
March 4: Deadline to complete for 2019-2020 contract to participate in Returner Self-Assignment and/or elect to keep your same room.
March 6: First round of Kenilworth Returner Self-Assignment
May 31: Cancellation deadline. Last date to cancel University Housing Contract and still recoup $250 of the $300 deposit.
June 1: FOR THOSE WHO CHOOSE TO NOT PARTICIPATE IN SELF-ASSIGNMENT: Priority deadline to compete University Housing Contract. Also the priority deadline for all contract preferences, including Roommate Requests. Returners who do not self-assign, will be assigned spaces based off the assignment lottery.
