Campuswide email messages update

Starting Monday, Sept. 11, there will be a new process for faculty and staff members who want to send an email message to all employees or to all students.

The person requesting the email must first have the content approved by their division head. Then, they should submit the approved message using this form.

The form sends the message to the vice chancellor for University Relations & Communications for approval and sends a confirmation email to the appropriate division head. Please do not email requests to individual University Relations staff members as they cannot approve messages for campuswide distribution.

Once the vice chancellor for University Relations & Communications has approved the message, requesters from Student Affairs, Academic Affairs and Finance & Administrative Affairs can forward the approval and message to someone in their division to distribute it. Requesters from Development & Alumni Relations and Global Inclusion & Engagement will forward approved messages to staff members in University Relations for distribution.

Email messages must meet the following criteria to receive approval for campuswide distribution:

  • The topic should be of interest to all students and/or all faculty and staff members.
  • The topic should be something that impacts their success as students or their ability to do their jobs. Legally required messages automatically meet this criteria.
  • Marketing emails that promote a specific program or event are not appropriate.

Campuswide emails are limited out of respect for employees and students who receive large volumes of email. Campus announcements found on the new faculty-staff web page and distributed through the UWM Report newsletter for faculty and staff provide another, preferred way to reach a campuswide audience.
