Equipment Room Rules & Procedures
Eligibility & Reservation System
- UWM students enrolled in a production class with a Valid UWM ID may check out equipment.
- Students may login to the reservation system using the following credentials.
- Username: First 9 digits of your student ID number
- Password: Lastname (lowercase)
- Equipment must be picked up by the student requesting it and have received prior training. Once you have demonstrated equipment competency your instructor or workshop leader will forward an eligibility note to the equipment room.
- You are only eligible to borrow equipment for which you have received training.
- Eligibility from previous semesters will be carried over.
- You may be asked to demonstrate equipment knowledge.
Responsibilities
- You are fully responsible for damage or loss of any and all equipment checked out in your name.
- You are responsible for inspecting the condition of the equipment at the time of check-out and bringing to the attention of the equipment room attendant any damaged or missing items.
Check-out Procedure
- Allow yourself five minutes to inspect each item you are checking out.
- Inspect all equipment before accepting it.
- You will receive a printout detailing the equipment, included parts and accessories and any condition notes.
- Compare the print-out with the equipment you receive to be certain that no unmentioned items are missing or damaged.
- Have the attendant note any discrepancies. Do not write them in yourself.
- Before signing the sheet, read the check-out form, noting your responsibilities for the equipment, and then sign the form.
- Return the form to the desk attendant. You will receive a copy via your UWM email account. If you do not receive one, please let one of the equipment room employees know.
- Upon return of the equipment, the attendant will note any missing items, or new damage. If items are missing or damaged, check-out privileges will be suspended until the missing items are returned, or until replacement or repair costs are settled.

Penalties
- Equipment returned one minute late or later will incur a $5 per day penalty.
- Upon a student’s third late fine/offense in one semester the student will lose all equipment privileges.
- If you are going to be late please call and notify the manager. This may remove your penalty and help us resolve any issues with the next scheduled user.
- You must bring back all equipment and pay all equipment room fines by the end of the semester. If you fail to do so, a hold will be placed on your university records and you will not be able to receive grades or register until you have returned your equipment. THIS EQUIPMENT IS CONSIDERED STOLEN. If a student is unresponsive, the Equipment Room Manager will contact the UWM Police. If UWM police are unable to contact the student, the case will be handed over to the Milwaukee Police Department where charges will be brought up against the student for stolen equipment.
Reservations
- Reservations must be made 15 minutes in advance. Students with reservations will be served first.
- Students may only have one reservation at a time—unless it’s for more than one type of production class. If a student is caught making more then one reservation at a time they will lose online privileges.
- Equipment may be reserved as early as two weeks in advance.
- A reservation is canceled if equipment is not picked up by 4 p.m. the day it was reserved. If a student habitually reserves equipment and does not pick it up the student will lose online privileges.
Renewals
- If checked-out equipment is not reserved, it may be renewed by phone on the day it’s due. It then becomes due at the next normal check-out period. Students are allowed to renew as many times as they want as long as there are no pending reservations.
- Renewals are made by telephone only. Due not attempt to renew by leaving a voice-mail.
- You must be prepared to return the equipment if it is reserved.
- Failure to return equipment by the due date incurs the usual suspension.
