Calendar Events & Communication Tools
We are excited to announce improvements to our online events calendar, now centralized for easier access and management. This change ensures that all events are entered in one location, while still allowing for filtering and publication on individual program sites. Additionally, we invite all UWM departments, units, and resources to contribute to our divisional newsletter with updates, announcements, and event details.
Calendar Events
To further our goals of providing students with a university experience that allows them to connect, prepare, and thrive, improvements are being made to the Student Affairs online events calendars. Instead of events being managed in various locations on uwm.edu subdomains, Student Affairs has moved to a central calendar. Departments will have a single location and standard for entering events, while the events can still be filtered and published on individual program’s sites. Planning
Access is required in order to submit calendar events to the Student Affairs Calendar, Department Calendar, and to the UWM Events Calendar. Request access to the Events Submission Form by clicking the link below and filling in the required information:
- Name
- UWM Email Address
- Department
- Staff or Student Employee
If you require event space there are a few options for reserving areas around the UWM campus.
UWM Student Union – Request space within the UWM Student Union by using the EMS Web Application. Information may be found on the Make a Reservation web page.
Academic Buildings and Administrative Spaces – Book available space within UWM academic and administrative buildings using the Room Optimization Assignments & Reservations (ROAR) application. Use the Roar Access Form to request a ROAR account.
Events that have a cost associated with them generally use the campus ticketing system, VBO Tickets, to securely handle the financial side of the event. VBO Tickets is the main campus vendor for non-Athletics events. Contact your department’s VBO Tickets representative to set up ticketing/costs in VBO Tickets:
Publishing
All published events are public and include day-of-event details. Private, internal or administrative deadlines should be communicated and managed within each department via a Teams meeting or some other format.
Only submit events that are owned by your department, even if the event takes place in your venue.
Events submitted in the morning are generally published to the calendar that day. The exception to this is weekends and also events that require more editing before publication.
If there is a reason an event needs to be cancelled or edited, use the form below.
Try to cancel within 48 hours of creation to minimize the probability that bots have scraped the data, people have explored the event, or people have added the event to their calendars.
Reporting
There are various ways to track attendance at events to be used for reporting after the event.
- Regular Events – Utilize the divisional application called Swiper to either swipe Student ID Cards or enter the Student ID Number in manually
- Cost/Ticketed Events – VBO tickets allows you to scan the ticket to the event as patrons enter the event
- 3rd Party Software Events – Software used by some departments, like Student Involvement, allows for the scanning of the student ID as patrons enter the event

Once the event has passed and you have tracked event attendance, the information has been stored and can be exported from the various systems in order to report on attendance. In most cases the student ID has been captured which allows for the creation of customized reporting based on reporting needs.
Divisional Newsletter
Student Affairs welcomes submissions from all UWM departments, units, and resources, including general updates, staffing announcements, celebrations, and details about upcoming events or opportunities, for inclusion in the divisional newsletter.
