Criminal Background Check FAQ

Updated: 4/7/23

  1. Why hasn’t the finalist for whom I submitted a request received an email from HireRight yet?

Make sure the email address you provided through BP Logix is correct. If an incorrect email is provided, the finalist will not receive the link since it is sent to the email address provided. Contact cbc-hr@uwm.edu if you have questions.

Instruct the finalist to check their Junk/Spam folder. The email will come from HireRight Customer Support and the subject will be “University of Wisconsin Background Verification Request.”

  2. When the finalist clicks on the link in the HireRight email, it says that the link has expired. What happens now?

HireRight emails each finalist a link, which remains active for five (5) business days. If the finalist fails to respond to this link, it expires. The CBC Administrator re-orders the link and HireRight emails a second link that also remains active for five (5) business days. If the finalist fails to respond to the second link, it also expires. Following two unsuccessful attempts, the CBC Administrator cancels the request, and the HR Business Partner (HRBP) is notified. If the unit still requires a CBC for this finalist, a new BP Logix submission via the Request for Employee/Volunteer Background Check form is required to repeat the cycle.

  3. Why is the CBC request I submitted taking longer than usual?

Make sure that the finalist has received the emailed link from HireRight, has logged into their system, and has completed the electronic finalist consent and disclosure form.

If the finalist has lived outside of the United States during the last seven (7) years, make sure they have also provided any additional documentation requested by HireRight.

Please Note: Processing time may be longer during peak hiring seasons, in the event of a natural disaster, or due to other world events.

  4. What is the average turnaround time for a CBC after a finalist has responded to the HireRight link, completed the consent and disclosure form, and provided their information?

CBC results are generally available within two (2) to seven (7) business days for finalists that have lived exclusively in the United States during the last seven years, depending on where they have lived within the U.S.

Turnaround time for finalists who have reported living abroad during any of the last seven years may take seven (7) days to six (6) weeks depending on their prior residence, if they have lived in multiple countries, and/or on the events currently occurring in those countries.

  5. Will the HRBP receive an email once a finalist has responded to the HireRight link, completed the consent and disclosure form, and provided their information?

    No.

  6. How will the HRBP be notified of a satisfactory CBC?

Both the initiator and the HRBP will receive an email from “uwm-ewkflowprocdir@uwm.edu” indicating that the finalist “MEETS COMPANY STANDARDS.”

  7. How will the HRBP be notified if there is a negative criminal report (i.e., an adverse action or “hit”) or a problem with a finalist’s record?

There is a process for handling adverse actions or “hits” which begins with an email to the HRBP containing an attached letter outlining the finalist’s offense(s). The CBC Administrator will guide the HRBP through the process.

  8. Is it possible for finalists to log into HireRight, and complete the consent on a mobile device?

    Yes.
