Provide a smooth onboarding for new employees in the Divisions of Strategic Enrollment Management & Student Success and Student Affairs by following the steps outlined below to request accounts, grant proper access, and requisition and set up hardware and software. There are procedures for supervisors and the employee.

Supervisor Steps

  1. Submit Human Resources (HR) Paperwork

    HR paperwork must be submitted via Workday and approved. Once the HR paperwork has been submitted and approved and the new employee account created in Workday, a nightly process picks up the new employee information from Workday and creates an ePanther account for the new employee.

    • New Staff: Work closely with your HR Business Partner to ensure all required paperwork has been submitted and entered into Workday to avoid any delays in your new employee starting on the requested day.
    • New Student Employees: Review all information the Student Employment page so you are aware of the requirements for hiring a student employee.

  2. Computer Available or Order

    Make sure the computer equipment required for the new employee is ready to go before their first day of work.

    • Current Computer Available: Contact the UWM Help Desk to request re-imaging of the current computer so the new employee is starting their job with a computer that has been updated and any old data, software, etc. has been removed. Please plan on 1-2 weeks for this process.
    • New Computer Needed: If this is a new position and/or the current computer for the position is past it’s usable life, someone with purchasing authority for the department can order a new computer, monitors, etc. via the CTS Purchase Request form. You may also request a consult if unsure of what exactly to purchase. Please plan on about four+ weeks for the computer order to be processed and placed, the computer to arrive on campus, the computer to be imaged with the UWM image, and the computer to be dispatched to the work location of the new employee.
  3. Request Work Tools

    Once the employee has activated their ePanther account, the supervisor may request access to software, printers, and other technology tools needed for the employee to do their job.

    Fill out the TIES New Employee Access Request form to request access things like printers, some specific software (Perceptive Content, FSS, Medicat, etc.), door access (LEC, Mellencamp, and Vogel), department SharePoint sites, department file storage, and more.

    Software not listed in the TIES form should be found on the Software Hub and a link to request access can be found there.

New Employee Steps

  1. Submit Required Forms

    As a newly hired employee at UWM, there are a number of forms you must fill out and submit as part of your employment. A Human Resources representative will contact you regarding those forms, when they are needed, answer your questions, etc. The forms below are required and can be submitted via Workday.

    • Direct Deposit 
    • Emergency Contact 
    • Employee Self-Identification 
    • Form W-4 
    • Form I-9 (Section 1 only)

  2. Activate ePanther Account

    Once the required forms and paperwork have been entered into Workday, a process runs to create a new campus account (ePanther Account) to be used to log in to your computer and other campus resources. You will receive an activation email at your alternate, non-uwm, email address with information on activating your new ePanther account. Activation of your account must happen before your supervisor can request access for you to other technology resources.

  3. Enroll in Multi-Factor Authentication (MFA)

    After you activate your new UWM ePanther account, you must also enroll in Multi-Factor Authentication, a critical second-step required to log in to your new UWM account. All UWM faculty and staff are required to use MFA in accordance with the Information Security Administrative Procedure 1030.A.

  4. Obtain an Employee ID Card

    The ID card, called the Panther Card, is the official UWM identification card and a vital tool for everyday campus life.

    Review the Get Panther Card page for information on submitting a photo online and obtaining your ID Card (Panther Card).
