UWM’s Prominent Visitor Process is used by UWM faculty and staff when they are hosting a prominent visitor(s) at UWM for an event, panel, invited speaking engagement, participation in a celebration, or other similar purpose.

Student organizations are not required to, but are encouraged to, engage with this process.

Prominent visitors are outside parties of significance including, but not limited to:

  • Elected official(s)
  • Regent(s)
  • Universities of Wisconsin senior leader(s)
  • State of Wisconsin government representative(s)
  • Federal government representatives(s)
  • Senior leader(s) from city or county government or local municipalities
  • International delegation(s)
  • Individual(s) or organization(s) involved in major fundraising activities with UWM
  • Other; please contact the chief government relations officer if you are unsure whether a visitor qualifies as prominent.

This process is separate from the approval necessary for “large-scale events” under UWM’s Use of Facilities Policies and Procedures.

This process is also separate from the Request for Chancellor’s Attendance or the Request for Provost’s Attendance. If you are requesting Chancellor or Provost attendance, you should complete those processes concurrently.

When an event involving a prominent visitor is occurring, the primary point of contact for the event – typically the organizer of the event – should complete the prominent visitor form with as much notice as possible.

The primary point of contact is responsible for also notifying and involving all relevant departments/units necessary to plan and implement a successful event. The details of the event determine who should be notified. Areas that often need to be addressed include:

  • Building and security planning (UWM Police Department)
  • Building Chair
  • Classroom issues (Provost’s Office, Dean’s Office, Academic Department, Registrar’s Office for student privacy/FERPA issues, other)
  • Communications/Marketing (MarComm)
  • Media Relations (MarComm)
  • Government Relations
  • Facilities (Facilities, Planning Management)
  • Parking (Transportation Services)
  • Information Technology (UITS)
  • Space/Facilities use issues and agreements and political activity issues (Legal Affairs)
  • Risk Management
  • Student Union Reservations & Event Planning

Notify the Office of the Chancellor about a event involving a prominent visitor:
