Email Reflector

Always use the email reflector to contact committee members. This ensures that the SecU office retains a complete record of committee business. The reflector address is listed in the upper righthand corner of each committee’s webpage.

Open Meeting Notices

You must submit an open meeting notice at least 24 hours in advance of each meeting. For more information, please refer to Open Meetings.

Agendas/Minutes

Agendas and minutes must be recorded for every meeting. When using the email reflector, the SecU office will automatically receive the agenda when you send it to the committee members. Minutes should be submitted to the SecU office after they are approved by the committee at their next meeting. Please send approved minutes to secofunv@uwm.edu. Agenda and minutes templates are available upon request from the SecU office.

Committee Recommendations

If your committee makes a recommendation that requires action by the University Staff Senate, please submit it along with a written rationale to the SecU office. It will be forwarded to the University Staff Committee and Codification Committee. The committee chair or a designated member will be asked to attend the relevant meetings to address any questions.

Annual Report

At the end of the academic year, you will receive a template and be asked to submit an annual report detailing the committee’s activities for the year.
