Gaining Access to Your Staff/Caregivers PDS Online User Profile and Transcript
Not every PDS Online user can view another PDS Online user’s profile or transcript. Access to another PDS Online user’s information requires permission. Please see supervisory permission chart below.

| Role in PDS When you are listed as the manager by your staff in PDS, this allows you to access their PDS transcript. | Users cannot add a manager/supervisor AFTER their account has been set up. If a supervisor was not added at account creation, a request must be made to wcwpds-mke@uwm.edu to have a supervisor added as the “manager” on the staff member’s PDS Account. |
Tip: Security Permission Access relies on the staff’s/providers’ user profile information. If their user profile form is incomplete or incorrect, you may not have access to their information.
1. Log into your PDS Online account.

2. Hover over “Admin” and Click “Users”
3. Search by first/last name for your staff
4. Click on your Staff person (If your staff person does not show up, they may not have added you as their manager when creating their PDS Account) Email wcwpds-mke@uwm.edu and request to be added as “manager” for your staff member in PDS. This will then allow you to access your staff member’s training list in PDS.

5. Click on “Transcript” > Make sure you are viewing your “Active” transcript


6. Click the “…” in the upper right corner. Click “Run Transcript Report”

7. Under DATE: To view ALL staff’s records, select “Training Start Date”

7. Click “Run Report” to run. The transcript will open as an Excel document. You may get a pop up from your web browser asking you to open the Excel. It may appear at the top or bottom of your web browser. See picture to the right

8. Click “File” in your transcript Excel document.

9. You can “Save As” to keep a digital copy You can also Save your transcript as a PDS file for a more formal document.
- Under “File” Select
- “Save as Adobe PDF” option
- Set “Fit to paper width” Click “Convert to PDF”

11. You will get a pop-up save window. Select where to save your PDF Click “Save”

How to View Your Staff/Caregivers PDS Online User Profile and Transcript
1. Hover over “Admin”
2. Click “Users

3. Enter your staff/caregiver’s first and last name in the corresponding boxes.
4. Hit “Search”

5. Click the person’s name.
Tip: If you are unsure of the correct spelling, try entering only the last name or the first portion of the last and first names. The default user status is active. If you do not see your staff/caregiver, select “all” from the dropdown menu.
