Workday Updates

Workday goes live on July 7 at UWM. It will bring together HR, finance and research administration to streamline and simplify administrative processes across all UW campuses. All UWM employees will use Workday to manage their employment information. UWM employees are encouraged to complete Workday training before go-live in early July. Learn the basics of Workday in a self-paced course that takes about 40-50 minutes to complete. Look for “Workday Fundamentals: Workday for All Employees” in your Canvas dashboard. Managers also will find a tile for “Workday Fundamentals: Workday for Managers” in their dashboard.

We invite all UWM employees to take the short Workday Readiness Survey. Your responses will help shape the rest of the campus planning efforts. The survey will be open through Friday, June 13.

Below are important area updates and key transition dates for Workday.

Human Resources

  • June 14 – Deadline to update your HRS Personal and Job Information (must be effective as of June 28 or earlier).
  • June 14 – Self-Service for Employee Benefits updates in HRS ends (reach out to UWM’s Benefits team with updates after this date).
  • For managers:
    • June 1 – New recruitment freeze begins in AIMS Applicant Tracking System.
    • June 13 – Deadline for June A Pay Period Approvals (June 1, 2025, to June 14, 2025).
    • June 27 – Deadline for June B Pay Period Approvals (June 15, 2025, to June 28, 2025). 

Finance

  • May 29 – Deadline to create/submit expense reports.
  • May 30 – Deadline for any requisitions to be received in Purchasing for processing consideration. The deadline applies to fiscal year 2025 and FY26 requisitions of $5,000 and less, as well as to any requisitions for any amount on contract. It doesn’t apply to software.
  •  June 2 – Deadline to request a new non-employee profile or an update to an existing profile. 
  • June 2 – Deadline to apply for a new Purchasing Card (PCard). 
  • June 9 – Deadline for approver to send back an expense report.

Research Administration

  • RAMP training is underway.
  • For anyone who currently completes records in WISPER, they are encouraged to take the FP1 (SmartForms and Workflow) course for an overview.
  • Departmental and central administrators have more courses available. We are creating reference materials – watch for more communication about those resources. 

Information Technology

  • Due to the implementation of Workday, UWM IT will add a Tech Timeout this summer. UWM Tech Timeout for the Workday launch begins on Friday, July 4, at 12:01 a.m., and ends on Thursday, July 10, at 11:59 p.m. 
  • A Tech Timeout is a set timeframe when University IT Services (UITS) will not make changes that affect campus-wide services, functions or activities. This includes major IT project changes, retiring or implementing a new IT platform, planned outages, etc.
    • UITS does this at the beginning and end of each semester to ensure a stable IT environment during peak periods of UWM educational and business activities.

Support

  • The Universities of Wisconsin is building a self-service support model. This includes the Get Help webpage where users will be able to call, email or submit issues/questions.
  • A model now in development will provide just-in-time support for any critical widespread issues that may occur during the first handful of weeks once Workday is live.
