On July 7, UWM will transition from the current HR system, MyUW, to Workday. The sections below outline time entry and leave information by employee classification type. Please review the section for your employee classification type for upcoming deadlines and possible changes to how you enter time and report leave. If you are unsure of your employee classification type, contact your HR Business Partner.

Academic Staff & Faculty
Absence Entry
For leave eligible employees, all absence and no leave taken entries with an effective date of June 28, 2025, or earlier must be submitted and approved by June 30, 2025. Entries with an effective date of June 29, 2025, or later must be held and entered in Workday. If you have missing leave reports from June 28 or earlier, they must be submitted and approved by June 30.

Hourly University Staff (Non-Exempt)
In Workday, Hourly University Staff can access the Timesheet and the Web Clock for time entry. For more information about reporting time in Workday, view the Entering Time in Workday job aid. This job aid contains a video and step-by-step instructions for using the Timesheet and Web Clock.
Time Sheet Entry
Prior to Workday go-live:
- For employees who enter their shift in and out times, all entries with an effective date of June 28, 2025, or earlier must be submitted and approved by June 30, 2025. Employees will continue to use their current timesheet for hours worked from June 29, 2025, to July 5, 2025. The current timesheet will become view only at 11:59 p.m. on July 5, and time entry from this point will be entered in Workday.
- For employees who enter their total hours per day, all entries with an effective date of June 28, 2025, or earlier must be submitted and approved by June 30, 2025. Entries with an effective date of June 29, or later must be held and entered in Workday with shift in and out times.
After Workday go-live:
- Hourly University Staff may use either the Timesheet or Web Clock to enter time.
- On July 7, you will receive an email when Workday is live. You will not be able to access Workday until after you have received the email. If you need to adjust your Timesheet, you may do so after you receive the email.
Web Clock Entry
Prior to Workday go-live:
- Employees who punch in and out will continue to use their current web clock through 11:59 p.m. on July 5, 2025.
After Workday go-live:
- On July 7, you will receive an email when Workday is live. You will not be able to access Workday until after you have received the email. If you were not able to use the Web Clock to clock in, you or your supervisor may use the Timesheet to enter your time for the day.
Absence Entry
For leave-eligible employees, all absence entries with an effective date of June 28, 2025, or earlier must be submitted and approved by June 30, 2025. Entries with an effective date of June 29, 2025, or later must be held and entered in Workday.

Exempt University Staff
In Workday, Exempt University Staff will no longer need to report their hours on a timesheet. If they do not take any leave within a month, they will need to report no leave taken.
Timesheet Entry
Prior to Workday go-live:
- For employees who enter their shift in and out times, all entries with an effective date of June 28, 2025, or earlier must be submitted and approved by June 30, 2025. Employees will continue to use their current timesheet for hours worked from June 29, 2025, to July 5, 2025. The current timesheet will become view only at 11:59 p.m. on July 5, and time entry from this point will be entered in Workday.
- For employees who enter their total hours per day, all entries with an effective date of June 28, 2025, or earlier must be submitted and approved by June 30, 2025. Entries with an effective date of June 29, 2025, or later must be held and entered in Workday with shift in and out times.
After Workday go-live:
- Exempt University Staff will no longer need to report their hours on a Timesheet.
Absence Entry

After the Workday go-live, you will be required to submit a monthly leave report even if no leave is used.
