Payroll Processing Transition to UW-Shared Services

As part of our ongoing efforts to update and optimize the Department of Human Resources’ organizational structure, improve efficiency, and better align with Universities of Wisconsin’s strategic goals, we are transitioning payroll functions to Universities of Wisconsin-Shared Services (UW-Shared Services) within Universities of Wisconsin System Administration (UW System), effective July 28th, 2024. Moving functions to UW-Shared Services will allow for more consistent, efficient, and streamlined processes system-wide.
What will happen to the current payroll team members?
Current UWM HR payroll employees will transition to UW-Shared Services, ensuring continuity of services for all employees.
What payroll functions will transition to UW-Shared Services?
Effective July 28th, UW-Shared Services will manage all questions related to the following payroll functions:
- Timesheets (entry, approval and corrections)
- Absence entry/approval
- Missing leave reports
- Leave balances
- Direct Deposit/W-4 inquiries
- Paycheck distribution/US Bank Focus Pay Card/Physical Paychecks
- Earnings Statement inquiries
- W-2’s
What payroll related functions will remain with UWM’s Department of Human Resources?
UWM’s Department of Human Resources will continue to manage all personnel action related questions, including compensation adjustments, FMLA, pay plan, and other related items. While the above transactional activities will remain with UWM, we will continue to monitor opportunities to adopt processing efficiencies implemented at the system level.
How will UWM employees be impacted by this transition?
- As of July 28th, questions related to the payroll functions listed above should be directed to UW-Shared Services at serviceoperations@uwss.wisconsin.edu. This means if you contact UWM’s HR department with questions related to these areas, we may direct or forward your inquiry over to UW-Shared Services for review and response.
- Employees will begin receiving communications directly from UW-Shared Services on payroll-related functions. Examples of this includes biweekly payroll reminders and deadlines, outreach to new hires and transferring employees regarding leave balances and reporting processes, and responses to payroll inquiries.
- The payroll section of the Department of Human Resources’ website will be updated to include additional details and UW-Shared Services resources.
What is the role of the UWM’s Department of Human Resources for payroll functions going forward?
As always, the UWM HR team is here to assist employees and provide guidance as needed. We will continue to work with UW-Shared Services to make sure employees are paid accurately and on a timely basis. While our department will move away from the transactional functions of payroll processing, we are excited about the opportunity this transition will provide to better serve as a strategic partner with the UWM community.
