➤ A video copy of the ISS Open Forum presentation is now available to the campus community. This gives an overview of findings to date, in addition to next steps.

➤ The Detailed Design Phase Roles and Responsibilities document is now ready to view.

➤ The Integrated Support Services (ISS) project team has begun sharing project findings and recommendations to a variety of stakeholders across campus. A schedule for broad campus communication has also been finalized and is included below.

Goals for the presentation meetings are:

  • Develop an understanding of the current state for in‐scope functions
  • Share the proposed model and how it will address challenges in the current state
  • Receive and respond to questions about the project or the proposed model

Project Open Forum sessions are scheduled for 90 minutes, with approximately 45 minutes for the presentation and 45 minutes for questions and discussion. Functional Open Forum sessions will provide an opportunity to discuss ISS as it relates to each of the in‐scope functions in more detail. Those sessions are scheduled for two hours in order to provide more function‐specific details in the presentation and more time for discussion.

The meetings scheduled below are open to all UWM faculty and staff. Please plan to attend one of the sessions and encourage others to attend with you. The project sponsors are very interested in hearing from as many people as possible to ensure questions and concerns are addressed as the project moves into the Detailed Design phase.

➤  April 1st – IT Functional Team Progress Update at IT Policy Committee (on behalf of Keith Kunkel & Scott Kleba)

  • The AS-IS Assessment survey closed on March 4th
  • 136 staff members completed the IT section of the survey
  • The Functional Team has been analyzing the data from the survey
  • We are in the process of determining the gaps in the data to complete the AS-IS report
  • We may be having one-on-one meetings, group meetings, etc. to gather the remaining data
  • Good progress continues on the Desktop/Laptop/Server and Lab/Classroom inventory timeline
    • March 14th – April 29th: Conduct final data gathering activities
    • May 2nd – May 13th: Write AS-IS Report
    • May 13th: Submit completed AS-IS Report

  • Initial survey sent to a defined group of stakeholders on Feb. 8th by Robin
  • That group of stakeholders was asked to complete the survey by Feb. 19th
  •  As of Feb 17th, 86 staff members had completed the IT section of the survey
  • The survey is open to anyone who wishes to complete it
  • The survey will close on March 4th
  • The teams have started to review the data from the survey
  • That data is to help understand the AS-IS state of IT at UWM

➤  Dec 18th – Presentation to TechUsers

  • Project Core team continues to meet
    • Met with UBRs and PReps on Nov 18th. Feedback from them expected last Wednesday (refer to November 18th, 2015 Presentation to UBRs and PReps)
    • Survey from all functional teams in progress and will be sent out around the end of January
    • ISSP Website is up http://uwm.edu/issp-integrated-support-services/
  • IT Functional Team continues to meet
    • Videoconference with University of Illinois at Urbana-Champaign
    • Conference call with the University of British Colombia
    • Began developing questions for the IT part of the survey
    • Asset Inventory of desktops/laptops/servers & AV/classrooms/labs in progress

    • Project team met with the UBRs and PReps to request assistance identifying staff who work in their area. UBRs and PReps to provide feedback by December 15th. As a next step the Project Core Team will meet to determine the approach to contact the identified staff that will be involved in the data gathering activity

      • Have met four times so far and still working to get their heads around the project
      • Had a good conference call with Boston University. Plan is to continue seeking information from other colleges and universities. So far we have obtained lots of data about design and implementation but not AS-IS phase of the project
      • Have received some responses from Educause conference and the Educause listserve
    • IT Co-leads Keith Kunkel and Scott Kleba will continue to provide updates to IT Policy Committee as needed
    • Project Core Team will be meeting soon with UBRs and PReps to request assistance identifying key stakeholders that will be involved in the data gathering activities
